Trailer Jack RFQ Checklist Key Specifications to Include Before Requesting Bulk Quotes
A useful RFQ defines the delivered configuration, not just the unit price
A buyer sends three suppliers the same inquiry: “Please quote a heavy-duty trailer jack, black finish, 500 pieces.” Three prices arrive. One includes a drop leg and handle, another excludes the mounting kit, and the third offers a different capacity definition. The purchasing team has three numbers, but not three comparable offers.
A trailer jack RFQ checklist should prevent that situation. An RFQ, or request for quotation, needs to connect the intended application, technical requirements, supplied components, verification evidence and commercial terms to one identifiable product configuration. A price is useful only when the buyer can establish exactly what it purchases.
What should a trailer jack RFQ include? Specify the application and operating conditions, separately defined lifting and support requirements, mounting drawing, retracted dimensions, screw travel and drop-leg adjustment, operating method, finish, included accessories, inspection requirements, order quantities, delivery basis, warranty and replacement-parts support. Require suppliers to identify deviations against each requirement rather than replying only with a catalog and price.
This guide is for OEM purchasing teams, importers, distributors and fleet buyers preparing a repeatable procurement package. It does not prescribe a universal jack size, mounting design or load-test procedure. Those decisions require the applicable manufacturer's instructions and project engineering approval. The objective here is narrower: make the quotation complete enough to evaluate before money, production capacity and delivery dates are committed.
Separate fixed requirements from decisions the supplier may propose

Before approaching suppliers, divide the project into three categories: requirements that are already approved, preferences that may be traded against cost, and unresolved engineering questions. This distinction belongs in the RFQ itself, not only in the buyer's internal notes.
For example, an existing trailer frame may impose a fixed mounting interface. The color of the handle grip may be a preference. The appropriate actuator arrangement may still need evaluation. Marking all three “required” can exclude useful proposals; leaving all three open can produce offers that fit different trailers.
For OEM trailer jacks, identify who owns the design decision. In a build-to-print purchase, the supplier should quote the stated drawing revision and disclose manufacturing exceptions. In a supplier-designed purchase, provide the operating requirements and ask the supplier to return a proposed drawing, technical basis and validation plan. Neither approach is complete when design responsibility remains implicit.
Use a requirement ID for every important line, such as LOAD-01, FIT-02 or PACK-03. Assign an internal owner: engineering for load cases and interfaces, quality for verification, purchasing for commercial conditions, and service for repair support. These IDs allow a question raised during quotation to remain traceable through sample approval and production release.
Keep alternatives separate from the compliant base offer. A different handle orientation or coating may be worth considering, but it should appear as an explicitly identified option with its own drawing, price and approval status. Otherwise, a cost-saving proposal can silently become the purchased specification.
The buyer's specification sheet: twelve fields to complete before requesting prices
The following table is a working structure for trailer jack specifications. It is not a universal engineering standard. Replace each general instruction with a project value, controlled attachment or clearly assigned question. An empty field should mean “unresolved,” not “supplier may choose anything.”

Distributors purchasing wholesale trailer jacks should also attach a variant schedule. A quantity of 500 units split among five models is not the same quotation request as 500 identical units. State the quantity per SKU and distinguish an indicative annual forecast from the quantity being ordered now.
For dimensional preparation, use the existing guide to trailer jack mounting dimensions. Then convert the relevant measurements into controlled RFQ fields. The procurement task is not to repeat the measuring tutorial; it is to ensure every bidder answers against the same geometry.
Resolve the ambiguities that make technically different offers look equivalent
A capacity number needs a definition and an operating condition
Do not use an unlabeled “capacity” column as the sole acceptance requirement. For example, BULLDOG identifies model 190754 with an 8,000 lb support rating, while its powered model 500200 is described with a 4,000 lb lifting rating. These are different products, not two ratings for the same jack. The example demonstrates why the rating label must remain attached to the number. [1] [2]
Ask the supplier to define trailer jack lift capacity, stationary support capacity and any other claimed rating separately. Where a value is not published, request clarification rather than copying another value into the blank. A general description such as “heavy duty” cannot fill that gap.
Your engineering attachment should identify the load cases at the jack mounting location, not merely the trailer's gross weight. Include the relevant operating position and configuration. Do not assume a hitch-point measurement and the load at a differently positioned jack are automatically identical. Obtain project-specific confirmation, and do not invent a universal safety multiplier to make an uncertain input appear precise.
Total adjustment is not the same question as lifting stroke
Ask for screw-driven travel, drop-leg adjustment, fully retracted dimensions and maximum approved extension as separate fields. Require a common measurement datum, such as the specified mounting surface, with the foot and drop-leg position identified. A drawing should make those references visible.
Where a quick-adjust leg is included, ask which part of the adjustment is intended to occur unloaded and which movement the screw or powered mechanism provides. Confirm the operation in the model-specific instructions. Do not turn a combined adjustment dimension into an unsupported claim about continuous powered travel.

A mounting category does not establish a complete interface
“A-frame,” “bolt-on” and “weld-on” describe broad arrangements. For quotation, ask for the actual interface: hole locations, tube dimensions, bracket geometry, orientation and clearance for operation and service. State which drawing controls when a catalog illustration and an engineering attachment differ.
Include the retracted travel envelope and nearby coupler, storage-box or frame obstructions in the review. For powered versions, include access to connections and any manual override. For manual versions, show the space available for the handle through its required movement.
Use the site's A-frame trailer jack installation article for introductory installation context. The purchase specification should go further by assigning approval responsibility for the attachment and identifying the exact manufacturer's installation document. Do not substitute a generic torque value or an improvised weld instruction for that approval.
“Included” must mean an identifiable list of components
A product image is not a packing list. BULLDOG's 500200 page describes a manual override with a crank included, while its specification table separately identifies mounting hardware as not included. This illustrates why buyers should ask about individual components rather than assume that a pictured or described assembly includes everything needed for installation. [2]
Request one supplied-components schedule covering the jack, foot or wheel, drop-leg pin, handle, bracket, fasteners, electrical items and instructions. Each line should say included, excluded, optional or not applicable. An optional mounting kit should have its own part number and price.
For branded products, distinguish the manufacturer's standard package from any distributor-added bundle. For private-label products, require the approved bill of materials and packaging record to identify the intended kit. The same model family name should not conceal a different delivered configuration.
A finish description is not a service-life guarantee
Tell suppliers where the equipment will operate and how it will be stored and cleaned. Ask them to identify the proposed coating system by component and describe the evidence supporting the requested exposure conditions. A painted outer tube and a plated inner component should not be collapsed into an ambiguous “galvanized” field.
ASTM B117-26 describes a controlled salt-spray environment for comparing corrosion behavior. Its published guidance cautions against using salt-spray results alone to predict performance in natural environments. Do not convert a reported exposure duration directly into years of marine service. [3]
When requesting a report, define the specimen, method edition, exposure period, evaluation criteria and any required functional checks. A test performed on a coating coupon should be identified as such, not presented as an assembled-jack endurance result. Leave detailed test selection to the project's qualified technical team.
Make the supplier's answer as structured as the buyer's request
A trailer jack supplier should be able to return a line-by-line response without forcing the buyer to infer compliance from several brochures. Require the exact offered model and revision, the value offered for each requirement, the evidence reference and the status of any deviation.
Use four response states: meets requirement, proposed deviation, not applicable with explanation, and information pending. A blank is not acceptance. Likewise, “can customize” is a development proposal, not confirmation that the quoted sample or stocked model already meets the requirement.

Define trailer jack quality control through deliverables: dimensional records, agreed functional checks, traceability and the evidence needed to release the order. Request the applicable method and acceptance criteria before comparing supplier statements such as “fully tested.” This guide does not recommend informal overload testing at a warehouse or on an installed trailer.
Management-system evidence belongs in a separate section. ISO 9001 concerns quality management systems; it is not a model-specific lifting-capacity report. ISO also explains that certification is performed by external certification bodies, not by ISO itself. A ready-to-adapt RFQ cover message
Subject: RFQ — Trailer jack assembly for [project / trailer platform]
Please quote the configuration defined in the attached specification sheet and drawing revision [reference]. Our requested quantities are [samples], [initial release] and [forecast range]. The forecast is for planning and price-break discussion; committed quantities will be identified in the purchase order.
Return the completed requirement-response table, the exact offered model and revision, a dimensioned drawing, relevant product evidence, an included-components list and itemized commercial pricing. Identify every deviation against its requirement ID. Quote alternatives separately from the base configuration.
Please state minimum quantities by model, finish and packaging; sample and production lead-time assumptions; quotation validity; delivery rule and named place; warranty provisions; and service-parts availability. Identify missing information before treating any unresolved requirement as accepted.
No change to the approved configuration should enter production without the agreed written approval. Please name the technical and commercial contacts responsible for clarifications.
Normalize the quotation before negotiating the headline price
For each bid, first determine whether the technical requirements are met or unresolved. Only then compare the cost of delivering the same approved configuration to the same commercial handover point. A missing report or an unapproved interface is not merely a small price adjustment.
Ask whether trailer jack MOQ applies to the complete order, each model, each finish or each packaging variant. Separate production minimums from sample quantities, carton multiples and price breaks. Also ask how repeat orders are treated when they fall below the initial production quantity.
Define lead time as a sequence rather than a single number: technical clarification, drawing approval, sample preparation, sample disposition, production, inspection and shipment readiness. Ask what starts each interval. A quote measured from deposit and a quote measured from final sample approval should not be compared as though both clocks start today.
For international purchases, state the agreed Incoterms rule, named place and edition. ICC describes Incoterms 2020 as rules allocating costs, risks and obligations between buyer and seller. Use that framework to clarify the delivery basis, then document the other commercial provisions separately. [6]
An illustrative comparison of two 500-unit offers
The following figures are invented to demonstrate quote normalization. They are not supplier quotations, market-price estimates or evidence that one manufacturer is cheaper. Assume both offers have already passed the same technical review and are being adjusted to the same delivery basis.

Offer A's calculation is $42 + $3 + $1 + ($500 ÷ 500) + $2 = $49 per unit. Offer B's is $47 + $1 = $48. The lower advertised unit price becomes the higher normalized cost because the starting scopes differ.
This is an acquisition comparison, not a complete ownership-cost model. It excludes unmodeled taxes, financing, inventory carrying costs, failures and downtime. Add such items only when supported by the project's actual terms or explicitly labeled assumptions. Keep uncertain costs visible rather than hiding them in a precise-looking total.
When the operating method is still open, start with the site's comparison of manual versus electric trailer jacks. Request separate, clearly scoped alternatives instead of mixing manual and powered models into one supposedly equivalent price column.
Approve the sample, production configuration and service package separately

Before ordering samples, agree on what they are intended to demonstrate. A dimensional sample, an appearance sample and a production-intent functional sample answer different questions. Ask the supplier to identify any difference between the sample's materials, components, manufacturing route or finish and the proposed production configuration.
Record the sample identifier, drawing revision, supplied accessories, observations and remaining exceptions. An attractive sample should not close an unresolved rating question, and a successful fit check should not be treated as approval of every operating condition.
For production release, specify which approvals must be complete and which records must accompany shipment. Require traceability back to the approved configuration. Changes to a load-bearing component, mounting feature, coating process, motor or subcontracted operation should enter the agreed review process rather than appear without notice in a later batch.
Service planning also belongs before award. Request trailer jack spare parts by model and revision, with the available repair assemblies, ordering references, prices and lead-time assumptions. Ask which work is authorized for field service and which conditions require replacement or specialist attention.
Use the existing trailer jack maintenance checklist to identify operational questions for the supplier. The procurement output should be the applicable model's maintenance instructions, service-parts schedule and warranty process, not a promise that every design can be maintained in the same way.
Clarify what evidence a warranty request requires and who handles assessment, freight, parts and any agreed labor allowance. Record the commercial remedy and exclusions in the purchase documentation. A warranty duration by itself does not explain how an importer or fleet workshop will resolve a failed unit.
Focused FAQ
Can I request quotations before every engineering question is resolved?
Yes, but identify the request as preliminary and list the unresolved inputs. Ask suppliers to state assumptions and separate budgetary pricing from a production-ready offer. Do not let an assumed load case or unapproved mounting change become an accepted requirement through silence.
Should I give suppliers a competitor's model number?
A reference model can help explain the starting point, but it should not replace a specification. State the required functions and interfaces, provide information you are entitled to share, and require proposed equivalents to identify differences. Similar appearance does not establish equivalence.
Must lifting and support ratings always be different?
No. The RFQ should request the manufacturer's actual definitions and values, whether they are equal, different or not separately published. The purpose is to avoid assuming equivalence, not to invent a distinction that the model's documentation does not make.
What is the correct minimum order quantity for a custom trailer jack?
There is no project-independent number to insert into this checklist. Ask each supplier for its minimum by configuration and explain the requested customization. Compare the minimum with tooling, packaging, sample costs and repeat-order conditions rather than evaluating it in isolation.
Is a salt-spray report enough to approve a marine application?
Not by itself. Confirm what was tested and how the result relates to the proposed components and exposure. ASTM's guidance cautions against predicting natural-environment performance from salt-spray data alone. The application still needs an appropriate technical review. [3]
What should stop a quotation from moving to production approval?
Examples include an unresolved rating definition, an unapproved mounting deviation, missing critical evidence or a changed configuration without approval. Mark the offer pending and assign an owner to each open item. Do not compensate for an unresolved technical requirement by accepting a lower price.
The deliverable is a decision-ready quotation package
A completed trailer jack RFQ checklist should leave the buyer with one defined configuration, one consistent supplier-response format and one visible record of deviations. It should also establish which evidence is needed before sample approval, production release and shipment.
The most useful final question is not simply “Which supplier quoted less?” It is: “Can we identify what will arrive, demonstrate that it meets the approved requirements, compare its true acquisition scope and support it after delivery?” When those answers are documented, price negotiation becomes a commercial decision rather than an exercise in guessing what each offer excludes.
