Start With the Unit Price Trap

A tent fabric RFQ template is a structured request for quotation that gives suppliers the same material requirements, evidence requirements, quantities, and commercial assumptions. Its purpose is not simply to collect prices. It is to establish whether those prices describe interchangeable purchasing options.

Consider two offers that meet the same approved technical requirements. Supplier A quotes less per linear meter. Supplier B quotes more, but provides greater usable width and better cutting utilization. Which offer has the lower material cost for your tent panels?

You cannot answer that question from the price column alone. The following example shows why a sourcing team should define the comparison method before requesting quotations.

Illustrative calculation only: All prices, widths, acceptance fractions, and cutting-utilization figures below are invented assumptions, not market quotations, industry averages, or measured supplier results. Both offers are assumed technically acceptable, with the same currency, purchasing scale, and delivery-cost basis.

Supplier B is approximately 6.8% more expensive per linear meter, yet approximately 9.7% less expensive per accepted cut-panel square meter under these assumptions. The apparent purchasing premium becomes a material-cost advantage after the usable area is considered.

For a first comparison, calculate fabric cost per square meter using usable width, not an unspecified roll width:

Material cost per usable m² = price per linear meter ÷ usable width in meters.

For the expanded example:

Material cost per accepted cut-panel m² = price per linear meter ÷ (usable width × accepted area fraction × pattern utilization).

Define these fractions consistently. Pattern utilization here excludes the defect loss already counted in the accepted-area fraction. Counting that loss again would exaggerate waste. Cut-panel area includes the specified panel shape and seam allowances; it is not the projected floor area of an assembled tent.

This remains a material-only calculation. Freight, testing, development charges, labor, additional seams, and inventory exposure need separate treatment. A low calculated cost also cannot compensate for a fabric that fails the technical requirements.

Define the Purchase Before Defining the Fabric

Effective tent fabric sourcing begins with an application statement: what the fabric will become, where it will operate, how it will be converted, and what evidence is needed before purchase approval. Without that statement, suppliers must make assumptions that may differ from one quotation to the next.

This guide primarily addresses roll goods for sewn camping and recreational shelters. For engineered membranes, welded covers, and commercial tent systems, use the same discipline of written requirements, but have the responsible technical team select the relevant material, joining, structural, and project criteria. A roll-fabric RFQ is not a structural approval.

Give the flysheet, floor, inner body, and reinforcement material separate item codes. When two zones intentionally use the same fabric, record that decision rather than allowing a supplier to combine them by default. Issue separate requirements wherever the construction, finish, appearance, or acceptance conditions differ.

Describe the expected exposure and maintenance regime without converting them into an unsupported service-life promise. A periodically packed recreational shelter and a continuously pitched accommodation tent should not enter the quotation process with identical assumptions merely because both are called tents.

The RFQ Template: One Controlled Record for Each Fabric

Use the following framework as a working fabric specification sheet within the RFQ package. Replace the bracketed instructions with project requirements. Do not fill technical thresholds with generic internet recommendations simply to eliminate blank cells.

Require every supplier to return the same fields. Each response should identify the offered value or construction, supporting document, and any exception. A brochure can support the response; it should not replace it.

A missing requirement is not always a supplier problem. Mark unresolved buyer decisions as open, assign an owner, and request provisional options where useful. An RFQ can support development, but a development assumption should not silently become an approved production specification.

Resolve the Specifications That Can Change the Commercial Answer

Finished Mass: Buy the Material That Will Actually Arrive

Ask whether the quoted mass describes greige cloth, dyed cloth, or the complete finished material. Record coatings and treatments separately from substrate composition so that a percentage describing the coated product is not mistaken for the yarn blend.

ASTM D3776/D3776M-20(2025) addresses fabric mass per unit area and provides different measurement options. Its public summary also distinguishes a small-swatch result from a conclusion about an entire lot. Specify the applicable measurement basis instead of treating one sample measurement as an unlimited production guarantee. [1]

Set both the desired value and the acceptable variation. For procurement purposes, “approximately the requested weight” is not a complete response. Ask the supplier to state the offered tolerance and have the technical owner decide whether it fits the design.

Usable Width: Protect the Cutting Plan

ASTM D3774-18(2024) covers textile width and usable width. Its scope notes that selvages are included unless otherwise specified. That makes the distinction between overall width and agreed usable width important to state explicitly. [2]

Define usable width as the portion accepted for your cutting process, with excluded edges and measurement conditions written into the requirement. Ask for a committed minimum rather than relying on a nominal marketing width.

Then run the actual panel layout. A slightly narrower roll might prevent two panels from fitting side by side, creating a larger utilization penalty than a simple width ratio suggests. Do not rotate panels merely to improve the calculation unless the design permits the changed fabric direction.

For large panels, also examine roll length and join restrictions. Cheap material that requires an unapproved panel seam is not an equivalent offer.

Coating Identity: Specify Each Face and the Joining Route

The phrase PU coated tent fabric does not, by itself, identify the substrate, coating formulation, coating distribution, surface treatment, or approved seaming process. Ask the supplier to describe the complete construction and identify the side intended for the specified tape or adhesive.

Use that information as design context, not as evidence that every product within one coating family performs identically. [3]

Likewise, do not treat ripstop tent fabric as a complete performance grade. Request the underlying construction, finished properties, and relevant test basis. A descriptive fabric name is useful for identification but should not replace the purchasing specification.

When the Supplier Proposes a Different Coating

Ask for a separate alternative offer showing the changed construction, price, joining requirements, evidence gaps, and validation work. This preserves the original comparison while allowing technically useful suggestions. A claimed improvement still needs approval before it becomes the purchasing baseline.

Performance Values: Separate Typical Data From Acceptance Limits

Every important property should identify what is measured, how it is measured, the specimen condition, the units, and the acceptance requirement. Also ask whether a published number is a typical value, an individual test result, or a minimum that the supplier is prepared to commit to for the order.

For example, ISO 811:2018 describes a hydrostatic-pressure method for fabric resistance to water penetration. AATCC TM22-2024 evaluates resistance to surface wetting by a spray method. These are different properties; a spray rating should not substitute for the requested penetration-resistance evidence. [4] [5]

Avoid inventing one universal water-resistance or tear-strength threshold for all shelters. Have the responsible technical team establish project-specific requirements and appropriate methods. Make MOQ, Lead Time, and Delivery Terms Comparable

A quoted fabric MOQ needs a defined scope. Ask whether it applies to the base construction, coating run, color, print design, or finished article. Request the minimum separately for a development order and for repeat production rather than assuming one number covers both.

Suppose your project needs several colors but only a small quantity of each. Do not send suppliers one combined quantity and assume the resulting price is available for the intended color split. Ask them to price the actual mix and identify where changing quantities would trigger additional charges.

Request separate prices for the initial order, repeat order, and any genuine volume scenario. Label forecasts as forecasts. Do not obtain a low price using an annual quantity that the business has not committed to purchasing.

Lead time also needs a beginning and an end. Have the supplier state whether the clock starts after the purchase order, deposit, color approval, material confirmation, or another milestone. Distinguish sample readiness, production completion, dispatch, and delivery. An unexplained “30 days” does not identify which event you can schedule against.

ICC describes Incoterms® 2020 as rules allocating buyer and seller obligations, costs, and risks. Use an appropriate rule with its named place or port and version, then compare quotations on a common basis. A shared abbreviation alone does not establish identical delivery assumptions. [6]

Keep a separate commercial schedule for items such as testing charges, development fees, packaging, freight not included in the quotation, and inspection costs. When converting quotations to a common delivered-cost basis, avoid adding a charge that the supplier's price already includes.

Also identify any excess-order commitment created by the minimum quantity. Evaluate near-term purchasing needs and leftover inventory separately from the price per square meter consumed. A lower consumption cost can still require more cash and storage if the order minimum exceeds the program's realistic demand.

Ask for Evidence Without Turning the RFQ Into a Factory Audit

The quotation stage needs enough evidence to understand and qualify the offer. It does not need to duplicate a full supplier audit or detailed incoming-inspection procedure.

Ask tent fabric suppliers for the quoted article's current technical sheet, relevant reports, a clearly identified sample, and a written list of exceptions. Require the sample's status to be stated: existing production material, a development sample, or a proposed construction that has not yet been produced.

Connect evidence to the offer. Record the article code, material description, finish, sample or report identifier, and date. Where the supporting report concerns another construction, ask the supplier to explain its relevance and identify the remaining validation work.

A color swatch should not be treated as evidence of bulk consistency. Equally, a relevant historical report may be useful background without proving the condition of a future delivery. Keep those distinctions visible in the quotation review rather than collapsing every document into a single “certificate available” checkbox.

For materials expected to face repeated wet packing or extended exposure, request a defined aging and retained-performance proposal. Classify the Offer Before Negotiating the Price

Use the following review statuses as a proposed purchasing workflow, not as a universal industry scoring system. They prevent an incomplete or substituted offer from appearing to be the lowest-priced equivalent.

Do not penalize a useful alternative simply because it differs. The problem is not the difference; it is the undisclosed difference. A wider material or another finish may justify a separate development route, provided the benefits and additional work are visible.

Conversely, do not reward a blank response by treating it as compliance. Record unanswered questions as unanswered. Purchasing, product engineering, quality, and logistics should review the fields they own before the final commercial decision.

Send This Clarification Note Before Approving the Quote

Please quote the attached RFQ revision and return the completed response fields for each fabric item. State the exact offered article code, finished mass and tolerance, minimum usable width, coating construction on each face, quantity and color minimums, and the full commercial basis.

Please identify the source and status of supporting samples and reports. List every exception or proposed substitution separately, including its effect on price, schedule, conversion requirements, and validation. Do not replace the requested baseline with an alternative without identifying the change.

Please separate sample lead time, production lead time, dispatch, and transport assumptions. Mark any requirement that cannot yet be confirmed and state what is needed to resolve it.

Before order release, resolve the open items and connect the accepted quotation, specification revision, approved sample reference, and authorized deviations in the purchasing record. Where those documents conflict, settle the conflict explicitly rather than expecting the factory to choose the intended interpretation.

The final result should be more than a spreadsheet with a preferred supplier highlighted. It should explain which construction is being purchased, which evidence supports that choice, what the price includes, and which conditions still require approval.

Does a waterproof rating prove that a finished tent will not leak?

No. A fabric result addresses the property and conditions covered by its test. Define separate validation for the seam construction and assembled shelter where required. Do not let a material test report stand in for evidence about a finished product that was not tested.

Can I use a supplier's standard fabric instead of custom development?

Yes, when the offered construction meets the project's requirements and its availability, evidence, conversion compatibility, and commercial terms are acceptable. Request a clearly identified stock option and compare it against the same baseline. Do not assume that standard material is automatically interchangeable or always available for repeat orders.
